Privacy policy

Agentic Business Solutions ("we") provides outsourced accounts-payable services to businesses ("clients"). This policy explains what information we handle in providing that service and how.
Information we handle
- Emails and invoices clients send us, including attachments, sender addresses and message headers. Invoices may contain vendor names, addresses, amounts, and bank or remittance details.
- QuickBooks Online data, once a client connects their company: company settings, chart of accounts, vendors, customers, classes, locations, terms, items, and bills, expenses and vendor credits with their lines.
- Business contact details of client staff we work with, such as names and email addresses.
We do not collect information from the general public, and we do not use cookies for tracking or advertising. Our QuickBooks connection pages set one short-lived cookie that secures the sign-in.
How we use it
Only to provide the service to the client the information belongs to: to check that an invoice came from someone the client authorized, read the invoice, describe the expense, match it to the client's vendors and accounts, check for duplicates, and enter it as a bill in the client's QuickBooks company. We do not sell information or use it for advertising. One client's information is never used for another client.
Service providers
- Amazon Web Services hosts our systems and stores data, in the United States.
- Anthropic provides the AI model that reads invoices. Invoice contents are sent to Anthropic's API for processing; under Anthropic's commercial terms they are not used to train its models.
- Intuit provides QuickBooks Online and the sign-in used to connect it.
Security
Data is encrypted in transit and at rest. QuickBooks connection credentials are kept in a dedicated secrets store, and we never see or store QuickBooks passwords. Access is limited to our staff who provide the service. Clients can disconnect QuickBooks at any time from within QuickBooks.
Retention and deletion
Copies of original emails are deleted automatically after one year, and rejected emails after 30 days. Invoice records and QuickBooks data are kept while we provide services to the client. When a client ends the service, we delete their data on request, except where we must keep it to meet legal obligations.
